Job Description

  • General office administration duties 
  • Management of information at a strategic and highly confidential level 
  • Preparation of various reports 
  • Answer and respond to emails, phone calls, communicate messages and information to the Group Managing Director 
  • Setting up and maintaining senior management diary system for appointments, meetings and travel itinerary and arrangements 
  • Coordinate with other departments within the company to ensure seamless communication and coordination 
  • Liaising with senior management to ensure fast and efficient delivery of service to our clients 
  • Attending meetings and subsequently preparing clear minutes and following up itemized action to conclusion 
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings by ensuring the highest standards of courtesy and etiquette 
  • Other responsibilities may be assigned from time to time.


Knowledge and Experience
  • At least 5 – 7 years’ of relevant professional experience in personal assistance 
  • A Diploma in Secretarial duties/Office Management/Executive Secretarial or its equivalent. Candidates with an Advanced Diploma or Degree in the relevant field of responsibilities would be preferred 
  • Excellent written and verbal communication skills (proficient in Kiswahili and English) 
  • Exceptional attention to detail and ability to work under pressure 
  • Possess strong organization and time-management skills
  • Ability to multitask 
  • Proficient in MS Office Suite and other office management software 
  • Strong interpersonal skills.
