Job title: Employee Relation Trainee
Location: Dar es Salaam
Employee Relations Trainee
Key responsibilities:
• Supporting ER manager to ensure compliance of all mandatory employee documentations and well-kept in both physical archive and softcopy.
• Opening files of all new employees and ensure all mandatory documents are available and uploaded in the system. This includes issuing of ID cards to all employees of both TCC and JTILS.
• Supporting Business Partners and Line Managers to confirm new employees after successfully completion of probation period.
• On time facilitation and supporting key stakeholders of employees database to receive information or documents from employees’ archive.
• Supporting employees to make changes in the system and work with GBS to raise ticket on issues relating to Employee Relations.
• Working with ER Manager to support line managers and employees to govern the compliance of labor laws, JTI Code of Conduct and CBA.
• Maintaining good records of internal performance management actions i.e Disciplinary Hearing and Performance Improvement Plan (PIP).
• Ensure proper costing and payment of ER transactions by working with PR creator, vendors and Finance.
• Champion communications of employees’ affairs i.e new joiners & leavers, public holidays, annual leave etc
• Working with Line Managers and Wellness Specialist to ensure all employee’s sick leave/EDs are well kept and recorded in the system.
• Facilitate exit process of employees by issuing certificates of service and collect all mandatory People & Culture items.
• Facilitating Will project and ensure employees of both TCC and JTILS write and sign their wills.
• Supporting ER manager to organize Union meetings every month or upon request.
• Ensure all employees are complied with Conflict of Interest and Code of Conduct by acknowledging the receipt (signing).
• Administer Long Service Award by ensuring on time notification and recognition of awardees each year.
• Manage other assigned admin activities within Employee Relations office to support employees.
• Other duties as assigned by line manager
Qualifications:
- Degree in Law, Industrial Relations or Related
- Excellence in Microsoft applications
- Experience in project management
